Nebraska Medicine Earns Awards for Digital Safety Tool With Xapimed

Nebraska Medicine is comprised of Nebraska Medical Center and Bellevue Medical Center, employing over 9,000 physicians and medical staff across its two hospitals and 40 health centers. For the 11th consecutive year, Nebraska Medical Center has been awarded best hospital in the state by U.S. News & World Report, listed as one of the 100 greatest hospitals in America by Becker’s Hospital Review and included in Forbes best in state employers. Nebraska Medicine is committed to being a high-reliability organization, striving for consistent excellence in safety and quality across the organization for a long period of time. With this goal in mind, Nebraska Medicine decided to work on their Weekly Environmental Checklist to help the Facilities Department better identify and avoid potential hazards across the organization. They were already doing weekly environmental safety audits to check for things like faulty machinery or oxygen storage hazards. But the manual process was cumbersome and time-consuming. Support tickets had to be created, reviewed, prioritized, and monitored until completion – all by hand. In an attempt to be proactive, audit reports were frequently not up to date because of the delay caused by the manual data entry process. They needed to improve their efficiency and accuracy to achieve better outcomes.

Nebraska Medicine turned to their Office of Health Professions Education (OHPE) for a solution. The OHPE team partnered with Xapimed to create a digital tool with an audit that was transparent and shareable in real-time. This solution allowed staff to observe a current state, measure interventions and their effects over time, and report data across the organization more efficiently. Xapimed was already being used elsewhere in Nebraska Medicine to assess other types of workflows and deliver automated reports, such as Hand Hygiene Audits and Mock Code Blue Events . But this newly customized audit tool was designed to be used in a nonclinical area for the first time within the organization. How would it work?

Results

Nebraska Medicine’s partnership with Xapimed has allowed them to greatly improve their Weekly Environmental Checklist process by creating a transparent, consistent, and easy-to-use digital tool. Their compliance rates are higher, their leaders proactively review the data generated within the reports, and interventions are initiated sooner. Even with normal rates of turnover consistent in the industry, managers mentor their staff in completing the checklist weekly.  Using Xapimed, Nebraska Medicine has seen more than a 50% reduction in audit turnaround time. This project, which they called  “Creating an Electronic Rounding Ticket System to Track Potential Hazards,”

was so successful that they were awarded a Safety First Grant as well as a Brandon Hall Group Excellence in Learning and Development Technology Gold Medal Award. The OHPE and Facilities team also presented this at the American Society of Healthcare Engineering with much positive feedback. Congratulations!!!
